Scope of this Privacy Statement and our role
EstherIBK CPA (“we”, “us”, “our”) is an accounting and financial business operation. This Privacy Statement explains how we process personal information collected through our services: this website, our booking and contact forms, our downloadable products, our videos and educational content, and enquiries that reach us through social media or advertising lead forms (including Facebook and Instagram) — collectively, the “Services”.
We determine the purposes and means of processing your personal information as described in this Statement, and therefore act as the “data controller” (or equivalent term under applicable privacy law) of that information. This Statement applies to personal information we process to provide you with our Services, to respond to your enquiries, and to manage, run and improve our business.
This Statement does not apply to information we process strictly on behalf of an engagement client under a signed professional agreement; that processing is governed by the engagement agreement and our professional obligations. If you have questions about how we process your personal information, please see How to contact us below.
Information we collect
- Information you give us: your name, email address, phone number, and any details you type into a booking form, consultation request, questionnaire, chat message or lead form (for example, what you need help with and your business or tax situation).
- Account information: if you create an account, your email address and a securely hashed password managed by our authentication provider.
- Purchase information: if you buy a product or a paid session, our payment processor (Stripe) handles your card details. We never see or store your full card number; we receive only the order, amount, and payment status.
- Appointment information: the date, time, type, status and notes of sessions you book, including attendance or rescheduling records.
- Technical information: basic device, browser and usage data collected through cookies and similar technologies, including the Meta Pixel, to measure how our website and advertising perform.
How we use your information
- To respond to your enquiry and arrange or deliver a consultation.
- To send booking confirmations, reminders, receipts and service-related messages.
- To provide accounting, tax and financial business operation you request.
- To deliver files or products you have purchased.
- To improve our website, services and the relevance of our advertising.
- To meet our professional, accounting, tax and legal record-keeping obligations.
We do not sell your personal information, and we do not use it for unrelated marketing without your consent.
Legal basis and consent
We collect and use your information with your consent (which you give by submitting a form or requesting a service), to perform a service you have asked for, or where we are required to do so by law. You may withdraw consent at any time by contacting us, subject to records we must retain by law.
How long we keep information
We keep enquiry and lead information for as long as needed to respond and for a reasonable period afterwards. Client and financial records are kept for the periods required by Canadian tax and professional standards (generally at least six years). When information is no longer needed, we securely delete or anonymise it.
How we protect your information
Information is stored on secure, access-controlled servers, transmitted over encrypted connections, and available only to those who need it to deliver our services. No method of transmission or storage is completely secure, but we take reasonable safeguards appropriate to the sensitivity of the information.
Your rights and choices
You may ask us to access, correct, or delete the personal information we hold about you, ask how it has been used or disclosed, or withdraw your consent to further contact. Every marketing or notification email also contains an unsubscribe link. To make a request, email us at the address below; we will respond within 30 days.
